Content approval is more than just thumbs up or thumbs down. Sofia Creative's advanced approval system gives reviewers structured tools to ensure quality, meet deadlines, and process reviews efficiently.
Quality Checklist
Before approving, reviewers go through a built-in checklist that covers key quality dimensions:
- Brand Voice — Does the content match the brand's tone, terminology, and style guidelines?
- Forbidden Claims — Has the content been checked against the brand's list of disallowed phrases and claims?
- Format & Structure — Are headings, lists, and paragraphs properly formatted for the target channel?
- Grammar & Readability — Is the content free of grammatical errors and easy to read?
- Visual Assets — Are images, cover art, and media properly attached and sized?
The checklist ensures reviewers don't skip important aspects. It also provides a consistent standard across all team members.
SLA Indicators
Each piece of content shows an SLA (Service Level Agreement) indicator based on how long it's been waiting for review. Items that exceed the expected review time are flagged with visual warnings — yellow for approaching deadline, red for overdue. This helps leads prioritize which reviews need immediate attention.
Batch Approve
When multiple content pieces are ready and have passed review, you don't need to approve them one by one. Select multiple items from the approval queue and batch approve them in a single action. This is especially useful during campaign pushes when dozens of pieces need to move to publishing simultaneously.
Approval Comments
Reviewers can leave detailed comments explaining their decision. When rejecting content, comments guide the editor on exactly what needs to change. When approving, comments can note minor suggestions for future improvements.
Audit Trail
Every approval action — approve, reject, comment — is logged with a timestamp and the reviewer's identity. This creates a complete audit trail for compliance, client reporting, and team accountability.
